Terms & conditions

The agreement between you and Let's Manage Together

These terms apply to every trial and subscription. They are written in plain English so your Directors and Home Managers can read them without a lawyer. Last updated 28 October 2026.

1. Who we are

Let's Manage Together ("we", "us") provides an auditing and compliance platform for UK care providers, available at letsmanagetogether.co.uk. These terms govern your use of the platform and any related services.

You can reach us at any time through the contact page on this website.

2. Your account

You must give accurate details when you register, keep your sign-in details secure, and tell us straight away if you believe an account has been used without authority.

Each person who uses the platform needs their own account and job role. Logins must not be shared between staff.

Trial sign-ups must use your organisation's own email address. We may refuse or close a trial that is opened from a personal mailbox or that we believe is not for a genuine care provider.

3. Free trial

A trial runs for 14 days from the date your email address is verified, unless we agree otherwise in writing.

At the end of the trial you may subscribe to continue. If you do not, access is paused but your records are kept — nothing is deleted automatically.

4. Subscriptions and payment

Plans, prices and what each one includes are set out on the pricing page and form part of these terms.

Subscriptions are billed in advance, monthly or annually, through our payment provider Stripe. By subscribing you authorise recurring charges to your chosen payment method until you cancel.

Prices are in pounds sterling. Where VAT applies it is charged in addition and shown at checkout.

If a payment fails we may pause access after giving you notice, and will restore it once payment is made.

5. Changing or cancelling

You can cancel at any time from your account or by contacting us. Cancellation takes effect at the end of the period you have already paid for, and access continues until then.

We do not refund part-periods except where the law requires it. If we materially reduce what a plan includes, you may cancel and we will refund the unused part of the period.

6. Your data

You own the records you put into the platform. We process them on your instructions as a data processor, and you remain the data controller for the personal data of residents and staff.

We keep data on infrastructure in the UK and EEA, restrict access to staff who need it, and do not sell or share your records for marketing. A data processing agreement is available on request.

Where you enable the Caresynk Pro integration, we transfer the audit, action and staff files you select to the destination you configure — by email or to your FTP/FTPS server. You are responsible for that destination and its security.

When an account is closed you can export your records first. We keep closed-account data available to Directors so it can be reopened, and delete it on written request.

7. Audits are a management tool

Our question sets are drafted from published legislation and guidance, including the sources listed in the footer of this website. They are a practical aid to oversight, not a substitute for the regulations themselves.

You are responsible for deciding which audits, standards and records apply to each of your homes, and for meeting your legal and regulatory obligations. The platform does not provide clinical, legal or financial advice.

8. Acceptable use

You must not use the platform unlawfully, upload data you have no authority to hold, attempt to access another organisation’s records, reverse engineer the software, or interfere with its normal operation.

We may suspend an account that we reasonably believe is being used in breach of this section, and will tell you why.

9. Availability and support

We work to keep the platform available at all times, but we do not guarantee uninterrupted service. Planned maintenance is carried out outside normal working hours where possible.

Support is provided by email and through the contact page during UK business hours.

10. Our liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law does not allow to be limited.

Subject to that, our total liability arising from your use of the platform in any 12-month period is limited to the fees you paid us in that period, and we are not liable for indirect or consequential loss, lost profit, or regulatory action taken against you.

11. Intellectual property

The software, audit templates, question sets and dashboards remain our property. You get a non-exclusive, non-transferable right to use them for your organisation while your subscription or trial is active.

Your records, uploaded documents and reports remain yours.

12. Ending the agreement

You may stop using the platform at any time. We may end this agreement if you materially breach these terms, if payment remains unpaid after notice, or if we discontinue the service — in which case we will give you reasonable notice and time to export your records.

13. Changes to these terms

We may update these terms as the platform changes. Material changes are notified by email or in the app at least 30 days before they take effect. Continuing to use the platform after that date means you accept the updated terms.

14. Governing law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute.
